Terms of Service

Rules for using Otom.

These Terms of Service (“Terms”) govern your access to and use of Otom, including the Otom website, mobile app, accounts, workspaces, and related services.

In these Terms, “Otom”, “we”, “us”, and “our” refer to the operator of Otom.

By using Otom, creating an account, creating or joining a workspace, or using our website, you agree to these Terms.

If you do not agree to these Terms, do not use Otom.

1. What Otom is

Otom is a mobile-first daily workspace app for small companies.

It helps teams organize daily updates, reminders, meetings, surveys, courses, notes, members, groups, roles, permissions, and workspace access.

Otom is currently free to use.

Paid plans, subscriptions, checkout, and public pricing are not available yet.

Otom is not payroll software, a benefits platform, a full HRIS, a ticketing system, a legal compliance system, an emergency communication system, or a regulated recordkeeping system.

2. Free use and future paid plans

Otom is currently available to use at no cost.

We may introduce paid plans, subscriptions, usage limits, or commercial terms in the future.

If paid plans are introduced, we will provide pricing, payment, cancellation, and related terms before charging users.

No public checkout, paid plan, or subscription is currently available unless clearly stated on the website or inside the app.

3. Accounts

You may need an account to use Otom.

You agree to provide accurate information and keep it updated.

You are responsible for:

  • keeping your sign-in method secure
  • protecting your device
  • activity under your account
  • notifying us of unauthorized access

You may not share access in a way that violates workspace rules, security requirements, or these Terms.

4. Workspaces

Otom is organized around workspaces.

A workspace may represent a company, team, department, or organization.

Workspace owners and administrators may:

  • invite members
  • remove members
  • manage groups
  • assign roles and permissions
  • control access
  • manage workspace content
  • configure workspace settings

If you join a workspace created by a company, team, or organization, your access may be controlled by that workspace owner or administrator.

Workspace owners and administrators are responsible for ensuring that they have appropriate rights, permissions, and notices for the information they add to Otom.

5. Members, roles, and permissions

Otom may include roles and permissions to control access to features and content.

You agree not to:

  • bypass access controls
  • view information you are not authorized to access
  • interfere with workspace permissions
  • misuse admin privileges
  • attempt to access another workspace without permission

Workspace owners and administrators are responsible for assigning appropriate access to members.

6. User content and workspace content

You and your workspace may create, upload, submit, or share content through Otom, including announcements, reminders, surveys, survey responses, meetings, courses, notes, member information, and related workspace records.

You retain any rights you have in content you provide, subject to any rights your company, team, or workspace may have.

You grant Otom a limited license to host, store, process, display, transmit, and use that content as needed to provide, secure, improve, and support the service.

You are responsible for making sure your content:

  • is accurate where necessary
  • does not violate laws
  • does not violate third-party rights
  • does not include unlawful, harmful, abusive, or unauthorized material
  • can be lawfully shared in the workspace

7. Acceptable use

You agree not to:

  • use Otom unlawfully
  • misuse, disrupt, or overload the service
  • attempt unauthorized access
  • interfere with security features
  • upload malware or harmful code
  • scrape, crawl, or extract data without permission
  • impersonate another person
  • harass, abuse, or threaten others
  • upload illegal, infringing, or harmful content
  • send spam or deceptive messages
  • reverse engineer the service except where allowed by law
  • use Otom for emergency, safety-critical, legal, payroll, medical, or regulated compliance purposes

We may suspend or remove access if we believe these Terms are violated or if access creates legal, security, or operational risk.

8. Notifications and communications

Otom may send service-related notifications, emails, or app notifications related to:

  • account access
  • workspace invitations
  • announcements
  • reminders
  • surveys
  • meetings
  • courses
  • notes
  • security
  • support
  • product updates

You may be able to control certain notification preferences.

Some service, security, or account messages may be required and cannot be fully disabled.

9. Privacy

Our Privacy Policy explains how Otom collects, uses, stores, and protects information.

By using Otom, you agree that information may be handled as described in the Privacy Policy.

10. Third-party services

Otom may rely on third-party services for hosting, email, analytics, monitoring, crash reporting, app distribution, and other infrastructure.

Otom may also link to third-party websites or services.

We are not responsible for third-party services we do not control.

Your use of third-party services may be subject to their own terms and privacy policies.

11. Mobile app and app stores

If you download Otom through the Apple App Store, Google Play, or another app store, your use may also be subject to that app store’s rules and terms.

App store providers are not responsible for Otom unless required by their own terms.

12. Intellectual property

Otom, including the website, app, logo, design, text, graphics, software, and related materials, is owned by or licensed to the operator of Otom.

These Terms do not give you ownership of Otom.

You may not copy, modify, distribute, sell, lease, or exploit Otom except as allowed by these Terms or with written permission.

13. Feedback

If you provide feedback, ideas, suggestions, or bug reports, you allow Otom to use them without restriction or compensation.

We appreciate feedback, but we may use it to improve Otom without obligation to you.

14. Service changes and availability

We may change, suspend, or discontinue parts of Otom at any time.

We try to keep Otom reliable, but we do not guarantee uninterrupted or error-free service.

Features may change as the product evolves.

15. Suspension and termination

We may suspend or terminate your access if:

  • you violate these Terms
  • your account creates security or legal risk
  • your workspace owner removes you
  • the service is discontinued
  • required by law
  • needed to protect Otom or other users

You may stop using Otom at any time.

Account deletion and data requests are described in the Privacy Policy.

16. Disclaimers

Otom is provided “as is” and “as available.”

To the fullest extent allowed by law, we disclaim warranties of merchantability, fitness for a particular purpose, non-infringement, availability, accuracy, and error-free operation.

Otom is not intended for emergency, legal, payroll, medical, safety-critical, regulated compliance, or financial recordkeeping use.

You are responsible for determining whether Otom is suitable for your needs.

17. Limitation of liability

To the fullest extent allowed by law, Otom will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of profits, revenue, data, goodwill, or business opportunities.

To the fullest extent allowed by law, Otom’s total liability for any claim related to the service will not exceed the amount you paid for Otom in the twelve months before the claim, or CAD $100 if you have not paid for the service.

Some jurisdictions do not allow certain limitations, so some of these limits may not apply.

18. Indemnity

If you use Otom on behalf of a company, team, or workspace, that company, team, or workspace agrees to defend, indemnify, and hold harmless Otom from claims, damages, liabilities, losses, and expenses arising from:

  • use of Otom
  • workspace content
  • violation of these Terms
  • violation of law
  • violation of third-party rights
  • misuse of the service

19. Governing law

These Terms are governed by the laws of British Columbia, Canada, without regard to conflict of law rules.

Courts located in British Columbia, Canada will have exclusive jurisdiction unless applicable law requires otherwise.

20. Changes to these Terms

We may update these Terms from time to time.

If we make material changes, we will update the “Last updated” date and may provide additional notice where appropriate.

Your continued use of Otom after changes means you accept the updated Terms.
