Otom is a mobile-first daily workspace app for small companies. This Privacy Policy explains how Otom collects, uses, stores, and protects information when you use our website, mobile app, account features, and related services.
In this Privacy Policy, “Otom”, “we”, “us”, and “our” refer to the operator of Otom.
Otom is currently free to use. Paid plans, subscriptions, checkout, and public pricing are not available yet.
By using Otom, creating an account, creating or joining a workspace, contacting us, or using our website, you agree to the practices described in this Privacy Policy.
If you use Otom through a company, team, or workspace, the workspace owner or administrator may also control certain information inside that workspace, including members, roles, permissions, and shared workspace content.
1. Information we collect
We collect information you provide directly, information created through your use of Otom, and limited technical information needed to operate, secure, and improve the service.
Account information may include:

- display name
- profile details
- authentication and sign-in information
- account preferences
- app settings
Workspace information may include:
- workspace name
- workspace membership
- member directory information
- groups
- roles and permissions
- workspace access settings
- invitations and membership history
Workspace content may include content created or shared through Otom, such as:
- Today workspace items
- announcements
- notifications
- reminders
- surveys
- survey responses
- meetings

3. Workspace owners and administrators
Otom is organized around workspaces.
If you use Otom as part of a workspace, the workspace owner or administrator may be able to:
- invite and remove members
- view member information
- manage groups
- assign roles and permissions
- control access to workspace features
- view or manage shared workspace content
- see certain activity or status information related to workspace records
- manage workspace settings
Some shared workspace content may remain available to the workspace even if an individual user leaves the workspace or deletes their account. This may include announcements, notes, reminders, survey records, meeting records, course records, or other content that is part of shared company records.
4. Sharing of information
We may share information only as needed to provide, operate, protect, or improve Otom.
We may share information with:
Service providers: Providers that help us with hosting, databases, email delivery, analytics, monitoring, crash reporting, support, security, app distribution, or similar operational services.
Workspace owners and administrators: If you use Otom through a workspace, workspace owners and administrators may access information connected to that workspace according to their permissions.
Legal and safety reasons: We may disclose information if required by law, legal process, government request, or if we believe disclosure is necessary to protect the rights, safety, and security of Otom, users, workspaces, or others.
Business or operational changes: If Otom is reorganized, transferred, acquired, or moved to a registered business or legal entity in the future, information may be transferred as part of that transition, subject to appropriate safeguards and notice where required.
We do not sell personal information to advertisers.

- account information is kept while the account is active
- workspace content may be kept while the workspace remains active
- support messages may be kept so we can respond and keep records
- logs and technical records may be kept for security, debugging, and reliability
- limited records may be kept after deletion if required for security, legal, backup, fraud prevention, dispute resolution, or legitimate operational reasons
Backup copies may remain for a limited period before being overwritten or deleted according to backup practices.
8. Account and data deletion
You can request deletion of your account and personal data at any time.
If Otom provides an in-app deletion option, you can use that option.

When we receive a deletion request, we will delete or anonymize personal information associated with your account where reasonably possible, unless limited retention is required for legal, security, backup, fraud prevention, dispute resolution, or legitimate operational reasons.
Important workspace note: If you use Otom through a company or team workspace, some shared workspace content may remain available to that workspace after your account is deleted. This may include announcements, notes, reminders, survey records, meeting records, courses, or other shared company content.
If your request relates to company-controlled workspace content, we may direct you to the relevant workspace owner or administrator.
If you request a copy or export of your data, we will provide it in a reasonable format where technically feasible and legally appropriate.
We will respond to deletion and privacy requests within a reasonable time and in accordance with applicable law.
9. Access and correction
You may request access to, correction of, export of, or deletion of personal information we hold about you.

For workspace data, we may direct you to the relevant workspace owner or administrator if the data is controlled by that workspace.

No online service can guarantee absolute security. You are responsible for keeping your account, device, and sign-in method secure.
